Authority Update Processing (AUP) File Names

After AUP processing, a number of files are returned to you. Each
file's name begins with the five-character username assigned to the
library by LTI, followed by a dash and "AUPYYQ" where "YY" equals the
last two digits of the year and "Q" equals the quarter, e.g. 071 for 1st
quarter 2007. The filename extension indicates the content of the file
as described below.

Files Containing MARC-Format Records:

LIBID-AUPYYQ.CHG - revised MARC bib records

Bibliographic records from the library's file in which one or more
controlled headings has changed. Libraries using the discontinued AUP
"Level I" processing do not receive this file.

LIBID-AUPYYQ.LCN - new and revised name-related LC authority records

The LC authority records that linked to the library's name, title, and
series headings and either have not previously been sent to your library
or which have been revised since you received the record.

LIBID-AUPYYQ.LCS - new and revised subject-related LC authority records

The LC authority records that linked to the library's subject headings
and either have not previously been sent to your library or which have
been revised since you received the record.

LIBID-AUPYYQ.LCY - new and revised series-related LC authority records

The LC authority records that linked to the library's series headings
and either have not previously been sent to your library or which have
been revised since you received the record.

NOTE: This separate file of series-related records is created only if
you explicitly requested it. Otherwise, the series-related records are
included in the ".LCN" file.

LIBID-AUPYYQ.LCG - new and revised LC form/genre authority records

The LC form/genre authority records that linked to
the library's form/genre headings and either have not previously been
sent to your library or which have been revised since you received the
record.

LIBID-AUPYYQ.LCM - new and revised MeSH authority records

The MeSH authority records that linked to the library's MeSH headings
and either have not previously been sent to your library or which have
been revised since you received the record.

LIBID-AUPYYQ.LCR - new and revised Sears authority records

The Sears authority records that linked to the library's subject
headings and either have not previously been sent to your library or
which have been revised since you received the record.

LIBID-AUPYYQ.LCJ - new and revised LC authority records for Annotated
Card (Children's) headings (001 field begins with "sj")

The LC AC authority records that linked to the library's subject
headings and either have not previously been sent to your library or
which have been revised since you received the record.

LIBID-AUPYYQ.LCDEL - Deleted authority records

Authority records previously supplied to the library but that no longer
exist in the LC file. This file can be used by some local systems to
remove cancelled LC authority records from a library's authority file
via automated processing. Though not all local systems have this
capability, the file is supplied to all clients. If the library's local
system cannot use the file in an automated process, the list of
authority records that should be deleted from the local system is found
in the ".lsa" report. You'll need to search for each one, by control
number, and delete them one at a time.

ASCII Text Files:

LIBID-AUPYYQ.ULH - Unlinked headings list

A list of all headings in which subfield "a" did not link to an LC or
LTI authority record.

LIBID-AUPYYQ.LSA - Authority report (ASCII text file)

A report on LC authority records. Lists three categories of authority
records:

a. Those authority records that were previously provided to
the library during an authority control procedure but which no longer
appear in LC. These records should be deleted from the library's local
file;

b. Those that are new to the library, identified in the AUP processing
run and pulled for loading into the library's authority file in its
local system;

c. Those authority records previously provided but have changed since
they were given to the library. To be shown on the list, a change must
have occurred in the 1xx of the authority record. The revised authority
record, along with others revised but without a change in the 1xx, will
be found in the *.lcn or *.lcs files.

LIBID-AUPYYQ.LSB - Bibliographic report (ASCII text file)

A list of headings in bibliographic records that were changed by the AUP
processing run. These changes are reflected in the *.CHG file of
bibliographic records.

LIBID-AUPYYQ-nfichg.ACR - Changes to non-filing indicators.

List shows title fields in which non-filing indicators were changed as
part of processing. Report is also available to libraries not using
LTI's non-filing indicator fix and may be used by local staff to make
needed edits to the fields.

Additional reports may be created for a library, based on its profile:

LIBID-AUPYYQ-880chg.ACR - Changes to controlled heading where 880 field
is present

List shows controlled headings with $6 that were changed during
processing. The report may be used by library staff to make needed edits
to the corresponding 880 fields.

LIBID-AUPYYQ-880err.ACR - Errors in linkage between controlled heading
and 880 fields.

List shows records where the linkage between romanized with $6 and
corresponding 880 fields is faulty. The report may be used by library
staff to make needed edits to the corresponding 880 fields.
