Authority Update Processing (AUP) ReportsTwo primary reports are made available as ASCII text files via FTP. The first, identified by the filename extension ".LSB", lists headings in bibliographic records that have changed since the last processing run. The second, identified by the filename extension ".LSA," lists changes in authority records since the last processing run. In addition, there are optional reports that provide information related to 880 fields and non-filing indicators. Bibliographic Record Heading Changes Report (.LSB report)In the Heading Changes Report (.LSB) report, the first headings in the list represent instances where a "major change" has occurred in the heading. Such headings are sorted into name/title headings, series headings, followed by the subject heading(s) the library has under authority control. Following the "major change" headings are those subject headings with the flag "Z" indicating those which have a changed geographic subdivision, while those with the flag "V" have had a change in application of the "form" subdivision from $x to $v. The last group of headings in the sample list have had only indicator changes. For each changed heading, there are three lines of information. The first line indicates the type of heading (e.g. "Series"), the control number of the LC or LTI authority record linked to the heading (if any), and the number of subfields in the heading that have linked to that authority record. LC authority record control numbers for name headings begin with "n," "nr," "no," or "nb". LC authority record control numbers for subject headings begin with "sh" or "sj". LTI authority record control numbers begin with "ltn" (name headings) or "lts" (subject headings). If all subfields in the library's heading are validated against the new heading, the words "all subfields" appear. If some, but not all subfields, in the new heading are linked to the authority record, the number of subfields that have linked is reported. The second line is the old heading form (prefaced by the word "old:"), the third line is the new heading form (prefaced by the word "new:"). For example, in reporting the change of an LC subject heading "$aAlpine flora$zRocky Mountains" to "$aMountain plants$zRocky Mountains", the link summary would show "1 of 2 subfields" to indicate that subfield $a has linked to the authority record, but not $z. In this case, the geographic subdivision "Rocky Mountains" is an authorized "float". At the beginning of the report is a summary showing how many headings were in the file, how many changed, how many did not change, and counts of a number of specific types of processing, such as subjects where the only change was $x to $v in a subdivision. Authority Record Changes Report (.LSA report)The ".LSA" report lists new, revised, or deleted LC authority records that linked to a heading since the last processing of the library's headings. Unlike the changed heading report described in the previous section, this report is devoted exclusively to Library of Congress authority records. A newly linked LC authority record is marked with a plus sign (+), a revised LC authority record is marked with an asterisk (*), and a deleted LC authority record is marked with a minus sign (-). Deleted authority records are listed first, followed by a listing of new records. Revised authority records make up the bulk of the listings in this report. As in the ".LSB" report, the list is sorted by the type of change. Listings beginning with "*m" show "major changes", while those with "*c" have changes only in capitalization, spacing, punctuation, or diacritics. Headings with only a change in indicator are flagged "*i". Revised authority records that do not have a change in the 1XX field are not listed on the report. In addition to the 1XX field of the LC authority record, the LSA report lists the LC Control Number (001 field), the transaction date (005 field) of the authority record, and the type(s) of bib headings to which the authority record linked - e.g. "series," "name/title," "LCSH," etc. Statistics at the beginning of the report show the number of deleted, new, revised and unchanged authority records, with revised records further broken down into the category of revision corresponding to the heading flags. Some LC authority records will have transaction dates earlier than the date the library's records received batch authority control at LTI. In most cases this means that the LC heading did exist at the time the library's job was processed, but the library's heading was not linked to the authorized heading at that time. Reports from the first processing run of a library's file may be substantially larger than subsequent reports since they include all headings that changed between the initial processing and the current processing run. Similarly, reports from an annual run will be lengthier than quarterly reports on the same database. Because LTI updates its file of the library's controlled headings after each processing period, the library is only alerted once of a heading change. Within the local system, the library can elect to make or not make the reported changes. The report may be used by library staff to make needed edits to the corresponding 880 fields. List shows title fields in which non-filing indicators were changed as part of processing. Report is also available to libraries not using LTI's non-filing indicator fix and may be used by local staff to make needed edits to the fields. The report is presented in a 5-column ASCII text file, each indicator change being allotted a maximum of 80 characters. From left to right, the 1st column shows the text of the possible non-filing word. The 2nd column, containing 6 characters, shows the number of non-filing characters to be ignored as present in the source record, followed by =>, and then by the number of characters to be ignored following LTI's processing. For example, "0 => 2" shows the non-filing indicator in the title field to have been set to 0 in the source record, as opposed to 2 after LTI processing. The 3rd column shows, between braces, the 3-character language code taken from the 008 field. The 4th column is a two-character, internal LTI code identifying the algorithm applied that resulted in the changed indicator value. The 5th and final column gives the tag, trailed by as much of the title, including subfield codes, as can fit in the remaining columns. |
